Job Posting: AVLIC Administrative Assistant, Full Time

The Association of Visual Language Interpreters of Canada (AVLIC) is a non-profit, professional association for interpreters whose working languages include a sign language. AVLIC requires a full time administrative assistant.

Job Summary:

The Administrative Assistant is a full-time (40 hours per week) employee of AVLIC with a term position concluding July 31, 2017 with the possibility of extension. The Administrative Assistant reports to the AVLIC Executive Director.


The Administrative Assistant will be an individual who can work completely independent of direct supervision. The Administrative Assistant will have a fully equipped home office (referred to as the AVLIC office below) with reliable high speed internet access.


Note to all AVLIC member applicants:

The Administrative Assistant will have access to all CES testing source materials. If the successful candidate is an AVLIC member, s/he will not be eligible to pursue any of the CES phases during the contract period and three years following the conclusion of the employment contract.  AVLIC membership dues will not be covered as part of this employment agreement.


  • Motivated self-starter knowledgeable about the field of sign language interpreting in Canada and knowledge of the international interpreting field is an asset.
  • Fluent in both American Sign Language and English
  • Excellent communication and interpersonal skills
  • Excellent writing skills
  • Advanced knowledge of Microsoft Office (including Word and Excel), and other common computer programs available to both Mac and PC systems
  • Experience in website management and development (to work in conjunction with contracted webmaster and CES Video Specialist)
  • Exceptional record keeping and time management skills, including the ability to prioritize daily tasks
  • Ability to work independently and display initiative and resourcefulness


Experience in office administration and customer service is required.

Pay scale:

Commensurate with education and experience: $38,000-$40,000 per annum, mandatory employment deductions (federal tax, CPP, EI), vacation time provided.

AVLIC Administration:

  • Maintain accurate records and files of AVLIC documents through the AVLIC office
  • Compose any necessary documentation (e-mails, letters, reports and articles)
  • Redirect AVLIC mail and e-mail as necessary
  • Support the efforts of the AVLIC Board of Directors, Executive Director, standing committees, ad hoc committees and special projects/services as needed, in consultation with the Executive Director
  • Update the AVLIC website and social media sites as needed
  • Coordinate all logistics of physical / online meetings of the AVLIC Board of Directors
  • Coordinate all e-mail correspondence from the AVLIC Board of Directors with the Executive Director to AVLIC members via the distribution list
  • Perform other duties as directed by the Executive Director

AVLIC Membership Processing:

  • Communicate with AVLIC members regarding their membership or renewal application.
  • Communicate with the Affiliate Chapter membership coordinators and presidents regarding processes of the dual membership system
  • Mentor the Affiliate Chapter membership coordinators in their roles and responsibilities of the portfolio
  • Coordinate membership incentives such as the E-mail Buddy System, Letters to Employers etc.

Canadian Evaluation System

  • Oversee the provision of all phases of the Canadian Evaluation System, including but not limited to the WTK, the Preparation Phase, the Test of Interpretation and Certification Maintenance
  • Coordinate the logistical arrangements for CES offerings, including but not limited to:
  • Responding to all inquiries and requests from members and/or Affiliate Chapters about offerings
  • Arranging for CES contractors to provide the appropriate supports
  • Ensuring locations and the appropriate equipment are secured
  • Supporting CES contractors, as needed, to complete their tasks
  • Corresponding with registrants before and after the offering
  • Requesting payment by the Treasurer for CES contractors
  • Maintaining records of the items listed above (as mentioned above)
  • Maintain accurate and confidential records about testing services and test candidates
  • Maintain accurate financial records of CES in coordination with AVLIC treasurer and Executive Director
  • Assist with other AVLIC CES office tasks or membership services as directed
  • Support the Evaluations Officer and Executive Director in implementing new CES initiatives.
